Workflow discussion: clearer handoffs between clinic and radiologist

A practical team checklist for the handoffs around a Doktalo case, from preparing the referral to reviewing the delivered report.

Before submission: one clear question

Agree who assembles the study and clinical context. Include the decision the imaging review should support, the relevant history and any limitations of acquisition. Avoid sending several partly overlapping submissions for the same examination.

During transfer: one case reference

Assign one person to verify the application’s confirmation and retain the reference. If the transfer is interrupted, record what the screen shows and seek support before creating a duplicate. A progress indicator and a final clinical report represent different stages.

During review: a route for clarification

Decide who in the clinic receives questions from the reporting team. Keep additional information linked to the same case where the available workflow allows it. Use secure clinical routes for files and patient information.

After delivery: review, discuss, act

Have the responsible veterinarian review the report alongside the patient’s other findings. Clarify a discrepancy or unresolved question before treating the written conclusion as the entire clinical picture. Record the resulting plan in the clinic’s own record system.

What should improve next?

Which handoff creates the most avoidable work in your clinic: preparation, transfer, clarification or delivery? Tell Doktalo about the workflow problem without including identifiable clinical files in the commercial enquiry form. Feedback helps frame future development; it does not guarantee a feature or release date.

Interface wording and available functions can change. For case files, use the secure clinical workflow. For access or onboarding questions, contact the Doktalo team.
