DOKTALO · LEGAL
Terms and conditions
Conditions for using Doktalo’s professional services and platform.
Last updated: 18.10.2026
1. Who we are
The services are provided by DOKTALO SRL, VAT/CUI 49468900, Trade Register no. J12/439/2024, registered office at Str. Șesul de Sus nr. 26, ap. 12, Florești, Cluj County, Romania (“Doktalo”, “we”). Contact: [email protected].
These terms apply to doktalo.ro and the app.doktalo.ro platform. By creating an account or submitting a study, you accept these terms.
2. Who the service is for
The services are intended only for professionals: veterinary clinics and veterinarians. We do not provide services directly to animal owners.
3. The services
- interpretation of imaging studies (radiography, ultrasound, CT, MRI) and a written report signed by a veterinarian
- storage and viewing of studies (cloud PACS and DICOM viewer)
- dictation and assisted report-drafting tools
4. Nature of the report
The imaging report is a specialist opinion based on the images and clinical information received. It does not replace clinical examination. The final diagnosis and treatment decisions rest with the attending veterinarian.
The quality of interpretation depends on the quality of the images and clinical history. We recommend sending original DICOM files. We may ask for additional views or information. We may decline to interpret a non-diagnostic study, in which case no fee is charged.
5. Artificial intelligence tools
The platform may use AI tools to support report drafting. Every report is reviewed and signed by a veterinarian. AI tools do not issue diagnoses autonomously.
6. Turnaround times
Turnaround times shown or communicated are indicative. Cases marked urgent (STAT) are prioritised. We are not liable for delays caused by force majeure, third-party service failures or incomplete data.
7. Your account
- provide accurate information and keep it up to date
- keep your login credentials confidential
- you are responsible for activity in your account
- notify us immediately at [email protected] if you suspect unauthorised access
8. Prices and payment
Fees are set per study, by modality, and are communicated before you submit the case. Dedicated offers are available for high volume. Invoices are issued electronically and are payable within the term stated on the invoice. VAT is added where applicable.
9. Clinic obligations
- you have the legal right to send us the studies and related data
- you inform animal owners about data processing, as required by law
- you remove personal data not needed for interpretation (e.g. the owner’s name in the DICOM header)
- you provide an accurate and relevant clinical history
10. Personal data processing (Art. 28 GDPR)
For personal data in uploaded studies and documents, the clinic is the controller and Doktalo is the processor. Doktalo undertakes to:
- process the data only on the clinic’s documented instructions, meaning to deliver the requested services, unless the law requires otherwise
- ensure that persons authorised to process the data are bound by confidentiality
- apply appropriate technical and organisational security measures (Art. 32 GDPR)
- engage other processors (sub-processors) only under contract with equivalent obligations. The current list is published in the Privacy Policy. The clinic is informed of changes and may object to them
- assist the clinic in responding to data subject requests and in meeting its security, breach-notification and impact-assessment obligations
- notify the clinic without undue delay after becoming aware of a personal data breach
- delete or return the data when the services end, at the clinic’s choice, except where the law requires retention
- make available the information needed to demonstrate compliance and allow reasonable audits
For data categories, retention and sub-processors, see the Privacy Policy.
11. Intellectual property
The platform, software, design and website content belong to Doktalo. The clinic may use reports received for patient care, communication with the owner and its own records. Uploaded studies remain the clinic’s property.
12. Liability
To the extent permitted by law, Doktalo’s liability for a study is limited to the fee paid for that study. We are not liable for indirect damages or for clinical decisions taken by the attending veterinarian. These limitations do not apply in cases of wilful misconduct or gross negligence.
13. Suspension and termination
You may close your account at any time by writing to [email protected]. We may suspend or close an account for breach of these terms, non-payment or abusive use. Payment and data obligations survive termination as long as necessary.
14. Changes
We may change these terms. The current version is published on this page. Material changes are announced by email or in the platform at least 15 days before they take effect.
15. Governing law
These terms are governed by Romanian law. Disputes are settled amicably or, failing agreement, by the competent courts at Doktalo’s registered office.
